What is TattooMate exactly?

TattooMate is a web-based solution for digital consent forms, health details and signatures in tattoo and piercing studios.

Does it work on phones and tablets?

Yes. TattooMate is fully web-based and optimised for touch operation. Clients don't need to install any app. A current browser and the smartphone camera are sufficient.

How secure is my client data from official access?

That depends on who operates the data — and that's exactly why we recommend self-hosted. With self-hosted, data is stored exclusively on your server. An authority would have to contact you directly as the studio operator. TattooMate has no access and cannot hand anything over, because we simply have nothing. With SaaS, data is stored on our server in Germany, encrypted. As long as your subscription is active, we technically have access to the decryption. With a court order we would — like any service provider — be legally obliged to cooperate. With self-hosted, this additional party is eliminated entirely. GDPR as a protective layer: every official access to personal data requires a specific legal basis, must be proportionate and generally requires a court order. The consent forms stored in TattooMate contain health data, which is specially protected under Art. 9 GDPR and presents a significantly higher hurdle for access. On tax audits: for a regular business audit, consent forms and health data are typically not tax-relevant. Whether and to what extent a tax authority can demand access to such data depends on the individual case and the applicable legal basis — we recommend seeking legal advice in case of doubt. Conclusion: TattooMate does not voluntarily hand over any data. Anyone who wants maximum control chooses self-hosted — you are then the only party that can be approached at all. No one can seriously provide guarantees beyond applicable law.

How do clients get to the forms?

Simply via QR code. The code is generated in the admin area and can be displayed in the studio or shown on a tablet. Clients scan it with their smartphone and land directly on the right form.

Do we need additional devices?

No, additional devices are not strictly required. However, we recommend one or two tablets (even budget models are fine) connected to the studio Wi-Fi. This allows clients to fill in forms without using their own mobile data. This is particularly handy when an additional signature is needed for a tattoo touch-up.

Is there a limit on the number of artists?

No. TattooMate is licensed per studio. You can add as many artists as you like without the price changing.

Is event or convention mode extra?

No. The event and convention mode is always included and can be used when needed.

Can I separate studio and conventions?

Yes. Via the event/convention mode with its own capture and separate overview.

How does the U18 process actually work?

If a client is below the minimum age, parent fields, signatures and required uploads become mandatory. Without these required fields, nothing is submitted.

Can I regenerate PDFs later?

Yes. The studio can regenerate, print or save PDFs at any time in the admin.

Who has access to client data?

Only authorised studio users. TattooMate uses roles and permissions so that not everyone can see or edit everything.

Is TattooMate legally sound?

TattooMate supports you with clean documentation of consents, signatures and health details. It does not replace legal advice, but it ensures traceable and reproducible processes in the studio.

Is TattooMate GDPR-compliant?

Yes. No IDs or PDFs are sent by email. Documents are generated and stored in the admin area. ID images are stored technically separate from the forms and are not directly attributable. Data remains entirely under your control.

Is there a newsletter / opt-in?

Yes, optional. The newsletter is only activated when the client explicitly consents in the form (checkbox) and signs the consent. Unsubscribing is possible at any time; the time and source of consent are documented.

Is the newsletter system GDPR-compliant?

Yes. Clients decide for themselves while filling in the form whether they want to receive newsletter communications. An unsubscribe link can be included in the newsletter and should be included when sending.

Can I self-host TattooMate?

Yes. You can run TattooMate on your own server or use TattooMate hosting. Both options are clearly regulated and transparently priced.

What does SaaS mean?

SaaS stands for Software as a Service. This means: the software is used via the internet without needing to be installed or operated yourself. The provider handles maintenance and updates.

Are there hidden costs or additional fees?

No. All prices are fixed. There are no usage-based fees, no hidden surcharges and no negotiations.

Why TattooMate — and why maybe not?

You shouldn't use TattooMate if you're just looking for any form. It's designed for studios that want to handle their documentation simply, cleanly and in a GDPR-compliant way — and in the end often save time and money doing so.

Why is there a demo if prices are fixed?

The demo isn't for price negotiations — it's to show the workflow, answer questions and make sure TattooMate is the right fit for your studio.
