TattooMate

Features that actually lighten the load

Digital consent forms, structured workflows and clean documentation — built for tattoo & piercing studios.

GDPR-awareStudio-focusedNo cloud lock-in

No fluff. No trackers. Focused on studio life.

What TattooMate covers

The stuff that actually matters in the studio — not 'nice to have'.

Forms that protect themselves

Required fields, signatures and U18 logic prevent the typical 'oops…' mistakes before they happen.

Documentation you can actually find again

Search, filters, detail view — and regenerate PDFs at any time. No folder chaos, no backfilling.

Control instead of cloud lock-in

Self-hosted possible. No trackers. Roles & permissions. Data stays with the studio.

Forms & studio safety

TattooMate isn't 'a digital sheet of paper' — it's a workflow that prevents mistakes.

Tattoo & piercing forms (digital, clean, complete)

Customers fill it out — you get a complete record instead of half the info.

  • Required fields & validation: nothing gets 'forgotten'
  • Signatures directly in the form (client/guardian)
  • Medical details structured instead of freetext chaos
  • Clear flow — fewer arguments at the counter

U18 protection that actually holds

If under minimum age: parent fields + signatures + uploads become mandatory.

  • Automatic age logic (incl. minimum age from settings)
  • Parent/guardian: mandatory data + signatures
  • Upload block if required fields are missing
  • No submission possible until U18 requirements are complete

Documentation & PDF output

The key point: PDFs are reproducible from the dataset — not 'generated once and gone'.

Regenerate PDF at any time

Studio can print/save whenever needed — without needing the original again.

  • PDF export from saved data (reproducible)
  • Signatures, contents, studio texts cleanly in the document
  • Ideal for filing, proof, internal processes
  • No need to email IDs or PII

Clean traceability instead of gut feeling

When things get serious, documentation counts — not memory.

  • Dataset + PDF = traceable process
  • Consistent structure across all forms
  • No handwritten notes that become illegible
  • Less risk from gaps in documentation

Admin area, search & overview

You don't want to search. You want to find. Fast.

Form overview with filters

For everyday use and stressful days: you see what's going on immediately.

  • Search by client/date/status (depending on view logic)
  • Detail view per form instead of table chaos
  • PDF download/generation directly from the view
  • Clear separation: everyday studio ↔ event forms

Document refusals & special cases

Not every client is suitable — the important thing is that you record it cleanly.

  • 'Refused'/reason for refusal recordable (e.g. piercing)
  • Visible note in the form record
  • No 'verbally declined' without documentation
  • Saves you discussions and protects studio & artist

Conventions, event mode & QR codes

Conventions are fast, loud, chaotic. TattooMate turns that into a controlled process.

Event mode for convention workflow

Capture quickly, process cleanly afterwards — without data mess.

  • Activate event mode (convention vs. studio)
  • Forms can be evaluated/found separately
  • Post-processing in admin without hunting everything down
  • Clean documentation even at high throughput

QR codes: clients scan, form opens, done

One QR on the table and the client is directly in the right form.

  • QR codes for tattoo/piercing & more (tools page)
  • Ideal for walk-ins & guest artists
  • Fewer questions, fewer slips, less stress
  • Perfect for fairs/conventions

Privacy, roles & operations

You sell trust. So the system needs to be trustworthy too.

Privacy-first, without unnecessary tracking

No analytics subscriptions, no cookies and no third-party scripts — that's exactly how it's meant to be.

  • No unnecessary third-party trackers
  • Data stays in the studio context
  • Clear processes instead of external tracking tools
  • GDPR-aware by design — no empty promises

Roles & permissions (not everyone sees everything)

Multiple people work in the studio — TattooMate can cleanly separate access.

  • Role-based permissions (e.g. view only vs. edit)
  • Admin area protected (login/session)
  • Less risk from wrong clicks
  • Scalable for larger teams & guest artists

Who is TattooMate made for?

Short and honest — so you don't waste your time.

A good fit if …

  • you want to get rid of paperwork in the studio
  • you need documentation that's clean and findable
  • you want to handle conventions/walk-ins efficiently
  • you want control instead of cloud lock-in

Not a fit if …

  • you're just looking for a single PDF 'to print out'
  • you don't want validation/U18 protection
  • you want customer data flying around by email
  • you want 'some app' without a studio workflow

Quick questions, clear answers

The points studios really want to know.

Can I self-host TattooMate?

Yes. Self-hosting is possible — you're not tied to a cloud. That's exactly the point: control over data and operations.

How does the U18 process actually work?

If under minimum age: parent fields, signatures and required uploads are mandatory. Without these required fields, nothing is submitted.

Who can generate the PDFs later?

The studio at any time in the admin area. Clients shouldn't have to request them later by email — that would often be problematic from a data protection standpoint.

Is there a newsletter / opt-in?

Yes, optional. Only when the client actively consents. Unsubscribing is possible at any time — and the proof (time/source) is traceable.
