TattooMate

Features that actually take work off your plate

Digital consent forms, structured workflows and clean documentation — built for tattoo & piercing studios.

GDPR-awareStudio-focusedNo cloud lock-in

No gimmicks. No trackers. Focused on real studio life.

What TattooMate covers

This is the stuff that matters in the studio — not “nice to have”.

Forms that protect themselves

Required fields, signatures and under-18 logic prevent the typical “oops…” mistakes before they happen.

Documentation you can actually find again

Search, filters, detail view — and regenerate PDFs anytime. No folder chaos, no backfilling.

Control instead of cloud lock-in

Self-hosted possible. No trackers. Roles & permissions. Data stays with the studio.

Forms & studio safety

TattooMate isn’t “a digital sheet of paper” — it’s a workflow that prevents mistakes.

Tattoo & piercing forms (digital, clean, complete)

Customers fill it out — you get a complete record instead of half the info.

  • Required fields & validation: nothing gets “forgotten”
  • Signatures directly in the form (customer/guardian)
  • Medical info structured instead of free-text chaos
  • Clear flow — fewer discussions at the front desk

Under-18 protection that actually holds up

If under minimum age: parent fields + signatures + uploads become mandatory.

  • Automatic age logic (incl. minimum age from settings)
  • Parent/guardian: required details + signatures
  • Upload lock if required fields are missing
  • No submission possible until under-18 requirements are met

Documentation & PDF output

The key point: PDFs are reproducible from the record — not “generated once and gone”.

Regenerate PDFs anytime

The studio can print/save whenever needed — without needing the original again.

  • PDF export from stored data (reproducible)
  • Signatures, content, studio texts cleanly in the document
  • Ideal for filing, proof, internal processes
  • No need to email IDs/PII

Traceability instead of gut feeling

When it comes down to it, documentation counts — not memory.

  • Record + PDF = traceable process
  • Consistent structure across all forms
  • No handwritten notes that become unreadable
  • Less risk from gaps in documentation

Admin area, search & overview

You don’t want to search. You want to find. Fast.

Form overview with filters

For normal days and stress days: you instantly see what’s up.

  • Search by customer/date/status (depending on view logic)
  • Detail view per form instead of spreadsheet warfare
  • PDF download/generation directly from the view
  • Clear separation: studio daily work ↔ event forms

Document rejections & edge cases

Not every customer is suitable — what matters is documenting it cleanly.

  • “Rejected”/reason can be recorded (e.g., piercing)
  • Visible notice in the form record
  • No “verbally turned away” without proof
  • Saves you arguments and protects studio & artist

Conventions, event mode & QR codes

Conventions are fast, loud, chaotic. TattooMate turns that into a controlled workflow.

Event mode for convention workflow

Capture fast, tidy up later — without data junk.

  • Enable event mode (convention vs studio)
  • Forms can be evaluated/found separately
  • Admin follow-up without having to piece everything together
  • Clean documentation even at high throughput

QR codes: scan, open form, done

One QR on the table and the customer is in the right form.

  • QR codes for tattoo/piercing & more (tools page)
  • Ideal for walk-ins & guest artists
  • Fewer questions, fewer papers, less stress
  • Perfect for expos/conventions

Privacy, roles & operation

You sell trust — so the system needs to be trustworthy.

Privacy-first, no unnecessary tracking

No analytics subscriptions, no cookie circus, no third-party scripts — by design.

  • No unnecessary third-party trackers
  • Data stays in the studio context
  • Clear processes instead of external tracking tools
  • Built with GDPR in mind — no empty promises

Roles & permissions (not everyone sees everything)

Studios have multiple people — TattooMate can separate access cleanly.

  • Role-based permissions (e.g., view vs edit)
  • Admin area protected (login/session)
  • Less risk from wrong clicks
  • Scales for larger teams & guest artists

Who is TattooMate for?

Short and honest — so you don’t waste time.

A good fit if …

  • you want to get rid of paperwork in the studio
  • you need clean, findable documentation
  • you want to handle conventions/walk-ins efficiently
  • you want control instead of cloud lock-in

Not a fit if …

  • you’re only looking for a single PDF to print
  • you don’t want validation/under-18 safeguards
  • you want customer data flying around by email
  • you want “any app” without a studio workflow

Short questions, clear answers

The points studios actually want to know.

Can I host TattooMate myself?

Yes. Self-hosting is possible — you’re not bound to a cloud. That’s the point: control over data and operation.

How does under-18 really work?

If under the minimum age: parent fields, signatures and required uploads are mandatory. Nothing is submitted without them.

Who can generate the PDFs later?

The studio can, anytime in the admin area. Customers shouldn’t have to request later by email — that’s often problematic for privacy.

Is there newsletter / opt-in?

Yes, optional. Only if the customer actively consents. Unsubscribe is always possible — and proof (timestamp/source) is traceable.
